Every practice begins with trust. When you share your name, your story, or your body's history with us, you place something valuable in our care. This policy explains, plainly, what we collect, why, who helps us hold it, and how we protect it.

Who we are

Vitality Studio is operated by Vitality Forever LLC, an Idaho limited liability company.

Information we collect

Information you give us

  • Name, email address, phone number and mailing address

  • Emergency contact name and phone number

  • Date of birth, where needed for age-based memberships (Senior 70+ and Junior)

  • Health, injury, mobility and medication-timing information you choose to share on intake forms, waivers or in conversation, so classes and private sessions can be adapted safely

  • Signed waivers, membership agreements and contracts

  • Messages you send us by email, text or website form

Payment information

Payments are processed by Stripe, Inc., through our scheduling platform, Momence. Your full card or bank account number is entered directly into Stripe's secure systems. Vitality Studio does not see or store your full card number. We receive limited details such as the card brand, the last four digits, the amount, and the date of the transaction.

Information collected automatically

When you visit our website or booking pages, our providers may collect standard technical information such as device type, browser, pages visited, and cookies used to keep the site and checkout working.

How we use your information

  • To book classes, workshops, private sessions and memberships

  • To process payments, refunds and receipts

  • To keep you safe in practice and adapt movement to your needs

  • To contact you about your bookings, schedule changes, cancellations and studio closures

  • To send newsletters and studio announcements, only if you have opted in; every email includes an unsubscribe link

  • To keep accurate business, accounting and tax records

  • To meet legal obligations and protect the safety of our community

We do not sell your personal information. We do not rent or trade our mailing list.

Health information

Health details you share are used only to guide your practice safely. They are seen only by your instructor and the studio staff who need them. We never use them for marketing. Vitality Studio offers movement education and wellness instruction. It is not a medical provider, and sharing information with us does not create a medical relationship.

Who helps us hold your information

We share information only with service providers who help us run the studio, and only as much as each needs:

  • Momence: scheduling, bookings, memberships, waivers and studio communications

  • Stripe: payment processing

  • QuickBooks Online and our bookkeeper: accounting and tax records

  • Squarespace: our website and online store

  • Our email and text messaging providers: confirmations, reminders and announcements

We may also disclose information when required by law, to respond to a lawful request, or to protect the safety of a person.

Text messages

If you give us your mobile number, we may text you about your bookings and schedule changes. Message and data rates may apply. Reply STOP to opt out at any time.

How we protect your information

Your information is stored with established providers that use encryption and access controls. Studio access to customer accounts is limited to staff who need it. No system is perfectly secure. If we ever learn of a breach that affects you, we will notify you as the law requires.

How long we keep it

We keep account and booking records while you are an active member or client. We keep financial records as long as tax and accounting rules require. Waivers and agreements are kept as long as they may be legally relevant. When information is no longer needed, it is deleted or securely archived.

Young practitioners

Junior memberships and classes for anyone under 18 require a parent or guardian's consent and signature. We do not knowingly collect information from children under 13 without a parent or guardian's consent.

Your choices

You may ask us to see, correct or delete your personal information, or to stop sending you marketing messages. Write to contact@vitalityforever.org. We will respond within a reasonable time, except where we must keep records by law.

Changes to this policy

We may update this policy as the studio grows. The current version is always posted on our website, with its effective date.
